This policy explains how cancellations and refunds work for exhibition space and services booked for EAW Global Aqua Expo 2026. It applies to all payments made through this Portal via Cashfree, as well as payments made by bank transfer or cheque.
Because exhibition space is a perishable, date-bound resource, cancellation charges increase as the event approaches. Charges are calculated on the total contracted booth amount, based on the date the Organizer receives written cancellation notice (relative to the build-up date of 4 August 2026):

Where a cancellation results in a refund due (amount paid minus applicable cancellation charge), refunds are processed as follows:
Payments for additional services (furniture, power, manpower, security, and similar) are refundable only if cancelled before the Organizer has placed the corresponding order with suppliers. Once procured, these are non-refundable.
If the Event is postponed, the Organizer will carry forward bookings to the rescheduled dates. If the Event is cancelled entirely by the Organizer for reasons within its control, exhibitors will receive a pro-rata refund of amounts paid, less any non-recoverable costs already incurred. The Organizer is not liable for travel, accommodation, or other third-party expenses.
